Disclosure: Abivo is our product. Facts about other tools come from their own websites as of October 2026.

The short answer: If your counter and credit team cannot keep up with calling hundreds of contractors about overdue job accounts, Abivo takes that follow-up: its AI agent, Kate, calls, texts and emails customers about overdue invoices in your company's name, names the job and PO, and hands disputes to your team with the full history. If protecting lien rights on every job is the risk, look at Levelset. If you run Spruce or another ECI system, look at Drypowder, ECI's AR and payments product. If you run Epicor BisTrack, start with its AR add-ons. If you want an enterprise order to cash platform, look at Billtrust or Versapay.

Building materials receivables are tied to jobs, not just customers. A framing contractor may have six open job accounts, each with its own PO, site address and general contractor. Payment depends on the contractor getting paid upstream, and your lien rights depend on sending notices on time for each job. Credit managers juggle three questions at once: who owes, on which job, and when the notice window closes. The tools below cover different parts of that work.

Abivo

Abivo is AI collections software that works on top of the accounting system you already use. Kate, its AI agent, calls, texts and emails contractors about overdue invoices in your company's name. Reminders name the invoice details contractors need to match a bill to a job, such as the job, site and PO, and one message can cover every open invoice on an account, so a contractor with several jobs hears about all of them at once.

Kate records promises to pay, disputes and next steps. When a contractor disputes a delivery or says the GC has not paid yet, Kate hands it to your credit team with the full history. You set the cadence per account or segment, so cash accounts, small remodelers and large builders get different treatment. You can pause any single invoice while a delivery ticket is reviewed, and flag key accounts so a named owner, often the outside salesperson or credit manager, handles them. Multi-entity dealers with several yards or companies keep each subsidiary separate. Abivo connects with QuickBooks, Xero, NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, SAP and Chargebee, or an aging report export.

Abivo does not replace your ERP, invoicing, payment processing or cash application, and it does not send lien notices. OFS Group, a fire protection contractor, collected $842,518 in its first four months with Abivo (case study). More detail is in our guide to collections software for building materials distributors.

Choose it when: you have more contractor accounts than your team can call, job details get lost in generic statements, and you want disputes and "talk to my rep" requests routed to a person.

Levelset

Levelset describes its lien rights tool as "the most trusted solution for securing lien rights and automating notices." Its site lists tools to calculate lien and notice deadlines, send notices, run lien waiver workflows, verify job stakeholder data through job research, and make payment demands. It names materials suppliers, equipment rental companies, subcontractors and general contractors as customers, and says it gives credit and finance teams visibility into risk.

Choose it when: missed notice windows on jobs are your biggest exposure and you need job research and notice tracking on every project.

Drypowder (ECI)

ECI, which makes Spruce ERP for lumber and building materials dealers, describes Drypowder as "a financial technology company focused on modernizing accounts receivable, billing, and digital payments" for building materials and construction. Its Homebase product is described as "an AR operations hub that centralizes collections, disputes, and communications." Its Vault product lets buyers select invoices and pay, with payments posting to the ERP. ECI says it integrates with ECI's industry ERPs. Spruce itself lists trade account management, contractor pricing, receivables analytics and a customer account dashboard with online payments.

Choose it when: you run Spruce or another ECI ERP and want AR workflows and customer payments from the same vendor.

Epicor BisTrack

Epicor BisTrack is an ERP for lumber and building supply businesses. Its site says it connects "employees, builders, and contractors on a single platform" and links sales, dispatch and accounting staff to customer data. For receivables, Epicor points to AR Assist to "automate AR workflows and speed collections," and to Epicor Payments for payment acceptance.

Choose it when: you run BisTrack and want AR tooling that fits your existing Epicor setup before adding a separate vendor.

Billtrust

Billtrust calls itself a "Cash Generation Platform" that runs invoicing, payments, credit, collections and cash application as one platform. Its distributors page describes credit onboarding with automated risk assessment and electronic credit applications, and includes 84 Lumber among its customer stories.

Choose it when: you are a large multi-location dealer replacing several AR processes, including credit applications, with one enterprise platform.

Versapay

Versapay says it helps "simplify the entire invoice-to-cash process." It offers digital invoicing and a self service portal where customers pay and resolve disputes, collections management that prioritizes high risk accounts, AI cash application and B2B payments. It lists wholesale distribution among its industries and integrates natively with NetSuite, Sage Intacct and Microsoft Dynamics 365.

Choose it when: contractors want to see and pay all their invoices online, and you want collections tasks in the same portal.

How to choose

Most dealers need two things working together: a way to protect payment rights on each job, and a way to make sure every overdue contractor account actually hears from you. Lien tools and ERPs handle the first. A collections layer handles the second. The software question is whether your team can see each job's notice dates and follow up on time.

Building materials AR checklist:

  • Job accounts: Do invoices carry the job name, site address and PO so a contractor can match them to the right project?

  • Notice timing: Does your credit team see which jobs are approaching a notice deadline, and does collections follow-up line up with it?

  • Many contractor customers: Can small remodelers and handymen get automated follow-up while large builders get a named owner?

  • One message per account: Can a contractor with several jobs hear about every open invoice in one call or email?

  • Disputes on deliveries: When a contractor disputes a ticket, can you pause that one invoice and keep chasing the rest? See how to resolve invoice disputes.

  • Credit holds: Who decides when an account goes on hold, and do the counter and outside sales know before the next order? See our credit hold policy guide.

  • Prioritization: Are you calling the accounts with the most at risk, or just the oldest? See how to prioritize collections accounts.

  • Integration: Does the tool read open invoices from your ERP or an aging export without retyping?

Frequently Asked Questions

What is the best collections software for lumber yards and building supply dealers?

It depends on the gap. If contractors pay late and your team cannot call them all, an AI collections agent such as Abivo handles follow-up and hands disputes to your team. If lien rights are the risk, Levelset. If you want AR tools from your ERP vendor, Drypowder for ECI users or AR Assist for BisTrack users.

Can collections software track job accounts for contractors?

Abivo's reminders name the job, site and PO on each invoice, and one message can cover every open invoice on the account. Job setup itself lives in your ERP.

Does Abivo send lien notices?

No. Abivo follows up on overdue invoices. Use a lien tool such as Levelset, or your own process, for notices and waivers, and pair it with collections follow-up.

How do building supply dealers collect from many small contractors?

Segment accounts, automate follow-up for the long tail, and assign large builders to a named owner. With Abivo you set the cadence per segment and flag key accounts. See our construction industry page.

Will automated calls hurt our contractor relationships?

Kate speaks in your company's name, names the specific invoices, and passes anyone who wants a person to your team with the full history, so the relationship stays with your credit team and sales reps.
