Disclosure: Abivo is our product. Facts about other tools come from their own websites as of October 2026.

The short answer: Janitorial and commercial cleaning contractors pay crews every week or two, while building owners, property managers and facilities management companies pay on net terms, often late. Most cleaning software handles recurring contract billing and online payment well: WinTeam, Aspire and Janitorial Manager all bill monthly contracts and take card or ACH payments. The gap is follow-up. If invoices are going out correctly but nobody has time to call AP departments about the overdue ones, Abivo adds an AI agent that calls, texts and emails customers and logs promises to pay, on top of your accounting system. Upflow and Versapay suit larger cleaning groups whose finance teams want a full AR platform with dunning sequences, portals and payments.

Abivo

Abivo is AI collections software for B2B finance teams. Its AI agent, Kate, calls, texts and emails customers about overdue invoices in your company's name. Kate records promises to pay, disputes and next steps, and hands disputes and requests to speak with a person to your AR team with the full history.

For cleaning companies, the useful part is how reminders are built. Reminders name the invoice details an AP clerk needs to approve payment, such as the building or site, the job, the PO and the billing period, so "March nightly cleaning, 400 Main Street, PO 7781" reaches the right approver. One message can cover every open invoice on an account, which matters when a property manager has twelve buildings with you and owes for several months on some of them. You set the cadence per account or segment, pause any single invoice while a floor care charge is being reviewed, and flag key accounts so a named owner handles them personally.

Abivo connects with QuickBooks, Xero, NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central, SAP and Chargebee, or works from an aging report export. Multi-entity teams keep each subsidiary separate, which helps franchise groups and regional operators. Abivo does not replace your accounting system, invoicing, payment processing or cash application, so your janitorial software keeps billing the contracts. In field services, "OFS Group, a fire protection contractor, collected $842,518 in its first four months with Abivo" (case study).

Read our guide to collections software for commercial cleaning companies and how AI collections calls work.

Choose it when: your billing is accurate but follow-up is inconsistent, your customers' AP teams respond to phone calls more than emails, and you want to keep your current cleaning software and ledger.

WinTeam (TEAM Software)

TEAM Software describes WinTeam as an ERP for "security and cleaning contractors." Its accounting page says WinTeam can "generate recurring invoices and secure integrated payment processing" and "track aging, billing and manage purchase orders." It also says you can process "vendor payments and customer collections through one system," with integrated bank reconciliation. The page does not describe automated reminder sequences or phone outreach in detail.

Choose it when: you are a larger contract cleaning company that wants operations and accounting in one ERP built for cleaning and security contractors, and you have AR staff to work the aging inside it.

Aspire

Aspire, now part of ServiceTitan, markets "commercial cleaning software" focused on profitability. Its janitorial billing content says recurring contracts can be billed as "fixed payment," "per service," or time and materials, invoices can go out individually or in batches, and you can "see accounts receivable for every property and client," filtering by aging and past-due accounts. Customers can pay online by card or ACH, and Aspire syncs with QuickBooks and Acumatica. Aspire's pages do not describe automated payment reminders for its own product.

Choose it when: you want estimating and contract billing in one commercial-focused platform, and you are comfortable working past-due accounts from filtered AR views.

Janitorial Manager

Janitorial Manager says "all invoicing is seamlessly tied into your accounting," and that creating a billable item generates an invoice "with a secure click-to-pay link." It supports recurring invoices and recurring billing, card and ACH payments, stored payment methods and next-day deposits, with receipts and refunds documented in the system. Its accounting page does not cover AR follow-up or collections.

Choose it when: you want janitorial invoicing with built-in online payment and recurring billing in one tool, and most customers pay once they get a payment link.

A note on Swept: Swept describes itself as "purpose-built for janitorial businesses," but its own comparison page says it "does not include built-in invoicing or payment processing." Teams on Swept usually bill from QuickBooks or another ledger, which is where a collections tool connects.

Upflow

Upflow describes itself as "the Financial Relationship Management platform for getting paid on time." Its collections page describes multi-step dunning sequences, Smart Rules that route customers to the right workflow, and outreach by email, calls, SMS and postal letters. It offers a branded portal with ACH, card and direct debit, a promise-to-pay option, and AI agents for collections, insights, cash application and submitting invoices to buyer AP portals. It connects with NetSuite, QuickBooks, Xero, Sage Intacct and Chargebee. Its listed industries are SaaS, security and compliance, and HR and staffing. See our Upflow alternative comparison.

Choose it when: you have a finance team that wants to build its own dunning playbooks and payment portal, and many of your facilities management customers require invoice submission through AP portals.

Versapay

Versapay calls itself "a top choice for midmarket finance teams." It says its platform "automates outreach, prioritizes by risk, predicts delinquencies," and gives customers a "self-serve portal to pay, manage accounts, or resolve disputes." It accepts ACH, card and wire payments, uses AI to match payments to invoices, and connects natively with NetSuite, Sage Intacct and Dynamics 365. Its listed industries are manufacturing, wholesale distribution and professional services. See our Versapay alternative.

Choose it when: you run a multi-region building services group on one of those ERPs and want to replace invoice delivery, payments and cash application together.

How to choose collections software for a commercial cleaning company

Cleaning AR has a recognizable shape: lots of predictable monthly invoices, a stream of extra-service charges, and customers who sometimes hold payment over a service complaint. Test each tool against your own aging report with this checklist.

  • Monthly contract invoices: Routine invoices sit low in AP queues. Ask whether the tool follows up on every overdue contract invoice, not just the large ones.

  • Extra services and approvals: Floor stripping, carpet extraction, window cleaning and post-construction cleans are often approved by a site contact the payer has never heard of. Reminders should carry the approver name, date and work order so the charge is not rejected.

  • Site and PO on every reminder: Multi-building customers need the address, billing period and PO to match the invoice. Missing PO numbers are a common reason a janitorial invoice gets parked.

  • Consolidated statements: A property manager with ten buildings should get one message listing all open invoices, not ten separate reminders.

  • Facilities management subcontracts: If you clean for an FM company, payment often waits on their client. Check that you can set a separate cadence for that segment and pause single invoices tied to a disputed work order.

  • Service complaints: "The restrooms were not done Tuesday" belongs with an account manager, not a collections script. The tool should log it as a dispute and route it with the history. See our guide to resolving invoice disputes.

  • Promises to pay: AP clerks often say "it's in next week's check run." Record the date and follow up if it slips. Read more on promise to pay tracking.

  • Contact turnover: Building managers change often. Keep AP contacts current and make sure bounced emails and wrong numbers surface quickly.

  • Payroll timing: Set a firmer cadence ahead of payroll weeks so cash from large accounts lands before crews are paid.

  • Ledger fit: Confirm the tool reads from where invoices end up, whether WinTeam, Aspire synced to QuickBooks, or Janitorial Manager tied into your accounting system.

Frequently Asked Questions

What is the best collections software for a janitorial company?

It depends on where AR breaks down. If you want billing and payments inside your operations software, WinTeam, Aspire and Janitorial Manager cover invoicing and payments. If invoices go out fine but overdue ones are not being chased, an AI collections agent like Abivo calls, texts and emails customers and logs promises to pay, alongside your existing software.

How do commercial cleaning companies get property managers to pay on time?

Send one clear message per customer listing every open invoice with the building, billing period and PO, attach approvals for extra services, follow up by phone as well as email, and route service complaints to an account manager instead of repeating reminders.

Can collections software work with QuickBooks for a cleaning business?

Yes. Abivo connects with QuickBooks, Xero, NetSuite, Sage Intacct, Business Central, SAP and Chargebee, or uses an aging report export. Aspire and Upflow also list QuickBooks connections on their sites.

Should a cleaning company use a collection agency or collections software?

Software suits invoices you still want to collect while keeping the customer, because outreach goes out in your name and you control the cadence. Agencies are usually a last step for accounts you are ready to lose.

Will automated collections calls upset my building customers?

Not if you set the rules. With Abivo you set the cadence per account or segment, pause any invoice, flag key accounts for a named owner, and every dispute or request for a person goes to your team with the full history.
